Which Best Describes Your Front Desk?

Is Your Front Desk at the Bare Bones Level?

1. A little out of control.  (Feels swamped and patients can drop through the cracks)
2. Does a little follow-up. (Calls patients when there is time)
3. Sends things out. (Sends out recall cards, patient invoices, mail)
4. Not particularly warm. (Patients don’t feel really welcomed or attended to)
5. Interacts as needed. (Handles calls, patients, and situations courteously.)
6. Schedules by convenience. (Doesn’t do directive scheduling, the schedule is erratic)
7. Patients leave w/o appts. (Doesn’t help motivate the patient into treatment)

Basically, the “Bare Bones” Front Desk is doing as best she can, but the practice isn’t growing.  Things feel hampered in the front (and they are).  It’s frustrating. 

Is She at the Average Level?

1. Is pretty organized.  (Patients are tracked and tickled on the computer)
2. Tries to follow-up. (Does calls but the unscheduled list is still fairly long)
3. Friendly manner.  (Speaks with a smile and is well liked by patients)
4. Schedules adequately. (Understands production scheduling & the schedule is adequate)
5. Tries to encourage. (Encourages txmt acceptance and makes financial arrangements) 

The “Average” Front Desk is doing as good as is normally expected.  A number of patients don’t go into care.  Some leave without appointments and cannot be retrieved.  Tracking is OK but some patients “drop through the cracks.” 

Or Is She at the Practice Building Level?

1. On top of everything. (Great tracking systems and pts. don’t drop through the cracks)
2. Highly personal manner. (Patients see she really cares and they confide in her)
3. Patients come back. (The unscheduled list is short. She’s in control of each case)
4. Schedules very well. (The practice is growing with higher & higher production)
5. Patients go ahead. (The front desk greatly enhances case acceptance.)
6. Patients complete txmt. (Patients don’t drop out mid-treatment.)
7. Practice reputation is high. (Patients are going back to the GP with high praise for you) 

The “Practice Building” Front Desk helps build an exceptional practice reputation.  With a front desk at this level, patients experience complete personalized care and attention. The GP feels safe in referring to you because patients aren’t lost and they get full treatment.  Because of this, your referrals are increasing, especially for more complex cases.
